1. Who we are

The data controller is WORK UNIT LLC (TOV «VORK UNIT», the Work Unit brand), Company ID (EDRPOU) 41253728, registered at 75/1A Vodoprovidna St., office 11, Khmelnytskyi, 29000, Ukraine.

Work Unit helps employers in Ukraine hire workers from abroad (recruitment and outstaffing) and works with partner agencies in India, the UAE and other countries.

2. What data we collect

Employers: the representative's name, position and contacts, company name, EDRPOU code, contract details, addresses of work sites and worker housing, job descriptions, working schedule, pay and working conditions.

Candidates: name, phone (including WhatsApp), email, citizenship, country and city of residence, trade and work experience, English level, passport details (validity and, for Indian citizens, ECR/ECNR type), previous visa refusals, when you can start, expected salary, the name of the agency that referred you, and whether you have paid anyone for a job.

Employment documents (only if you decide to proceed): passport copy, photo, CV, video introduction, diplomas and certificates, work permit, visa and residence permit details, arrival date and housing in Ukraine.

Partner agencies: name, country, licence numbers (for example MEA / eMigrate, MOHRE), contacts, capacity and terms of cooperation.

Messages you send us in the website chat, on Facebook, Instagram, WhatsApp, Telegram, Viber and other messengers.

Answers in questionnaires (quizzes) and forms, and the record of your consent, its date and the version of this policy.

Technical data: IP address, browser type, referring page and UTM tags, to the extent needed to run the site and prevent spam.

Anonymous visit statistics via Vercel Web Analytics: the page address, the referring source and UTM tags, approximate location (country, region, city), operating system, browser and device type. These statistics use no cookies and cannot identify you: a visitor is marked by a hash of the request, which is discarded within 24 hours.

We do not collect special categories of data (health, religious beliefs, etc.) and our questionnaires do not ask for your age, sex or appearance.

3. Purposes and legal bases

Responding to your enquiry and preparing a commercial offer: your consent and/or steps taken before entering into a contract.

Recruitment: matching candidates with vacancies and sharing a candidate's profile with the employer whose vacancy they apply for: the candidate's consent.

Preparing employment documents for foreign workers (work permit, visa, residence permit) and support until the first working day: performance of a contract and Ukrainian legal requirements.

Concluding and performing contracts with employers and partner agencies, keeping payment records: performance of a contract and legitimate interest.

Compliance with applicable law.

For people in the EU/EEA the legal bases are Art. 6(1)(a) (consent), 6(1)(b) (contract and pre-contractual steps), 6(1)(c) (legal obligation) and 6(1)(f) (legitimate interest) GDPR.

4. AI assistant in chats

In chats and messengers you may be answered by the Work Unit AI assistant. It asks who you are and what you need and collects basic information for a manager. We tell you when you are talking to AI.

The AI assistant does not make decisions about you: decisions on cooperation and employment are made by people. You can ask to speak to a manager at any time.

To run the assistant, the text of the conversation is processed by Google Gemini on our behalf.

5. Who we share data with

Employers whose vacancies a candidate applies for: only the data needed to consider the candidate and arrange employment.

The partner agency that referred a candidate: the status of the application and the documents needed for the paperwork.

Ukrainian state authorities (employment centres, the State Migration Service) and consulates: as needed for work permits, visas and residence permits.

Providers processing data on our behalf: Vercel Inc. (site hosting), the Sync Recruiting CRM (storing and handling enquiries; data is stored on servers in the EU), Google (Gemini AI service), Meta Platforms (Facebook, Instagram, WhatsApp, if you message us there), a transactional email service and a messenger notification for our team.

We do not sell personal data and never share it with third parties for their own marketing.

6. Transfers outside Ukraine

Data may be transferred outside Ukraine: to providers in the EU and the USA, to partner agencies in India, the UAE and other countries, and to employers in other countries when the vacancy is located there.

In such cases we share only the minimum necessary and apply appropriate safeguards (including contractual confidentiality obligations and standard contractual clauses).

7. Retention

Enquiry and questionnaire data is kept for up to 3 years after our last communication, or until you withdraw consent, whichever comes first.

Documents related to employment and contracts are kept for the duration of the relationship and the periods required by law.

The data is then deleted or anonymised.

8. Your rights

You have the right to access, rectify and erase your data, restrict or object to processing, receive your data in a portable format and withdraw consent at any time. Withdrawing consent does not affect processing carried out before it.

To exercise your rights, email workunit.agency@gmail.com: we respond within 30 days.

You may also lodge a complaint with the Ukrainian Parliament Commissioner for Human Rights or, for EU residents, with your national supervisory authority.

9. Cookies

The site uses a minimum of cookies: only the strictly necessary ones that make it work (remembering the language you chose, for example). The online chat sets no cookies of its own, and the visit statistics work without cookies.

You can change your choice by clearing the site data in your browser: the banner will appear again.

10. Security

Connections to the site and questionnaires are encrypted with TLS (HTTPS). Access to personal data is limited to authorised Work Unit staff who need it for their duties, with role-based access in the CRM system.

We may update this policy. The current version is always published on this page with its update date.
